Job Description: Vietnamese American Community Center Coordinator

Job Overview: VietAID is seeking a dynamic Community Center Coordinator to oversee building activities and space coordination. This position provides centralized administrative support, program specific admin support, inter-office services, scheduling, first-level intake and facilities management directly supporting all of VietAID’s programs. This position is full time and reports to the Executive Director.

Essential Job Responsibilities:

  • Work closely with Executive Director to develop, establish, and maintain efficient office workflow and administrative processes; analyze, develop, and maintain appropriate budgets.
  • Develop marketing and outreach materials for the Vietnamese American Community Center (VACC)
  • Serve as building usage coordinator for VietAID, building tenants, vendors and rental requests
  • Greet and direct all visitors while maintaining a welcoming, professional atmosphere in the office.
  • Set-up chairs and tables for events and operate the AV system.
  • Lock up the center after late Great Hall events and coordinate with the cleaner to ensure the space is clean
  • Maintain a seasonal schedule of programs/classes in the building and maintain a weekly door locking schedule.
  • Answer, screen, and route all calls/emails to appropriate staff
  • Maintain facility security and consistent communication with appropriate staff regarding safety issues.
  • Perform office administration functions (inventory management, facilities coordination, and administrative support)
  • Provide administrative support to programs, including translation, data entry, record keeping, and database maintenance.
  • Work closely with the maintenance staff and IT to ensure things are fixed on a timely manner.
  • Manage volunteer inquiry and contact database
  • Collaborate with various staff and volunteers to coordinate events


 Qualifications:

  • Bilingual Vietnamese and English.
  • Ability to work effectively and collaboratively within a multi-cultural, multi-ethnic, multi generational environment.
  • Experience working in administration and nonprofit programs preferred.
  • Experience with providing customer service preferred.
  • Proficient in MS Office suite and ability to be trained in software/database systems.
  • Ability to analyze and solve problems independently, with attention to detail.
  • Ability to multi-task and perform deadline-driven tasks as part of a team and independently.
  • Ability to work afternoon-evening hours and weekend evenings & sometimes early mornings.

Physical Requirements: (examples below)

  • Must be able to climb, reach, stand, talk, hear and be capable of repetitive motion.
  • Work requires close visual acuity.
  • Position Requires lifting up to 20lbs occasionally and up to 10lbs frequently.
  • Position is not exposed to adverse environmental conditions.

Salary $35,000-$40,000 including benefits. Compensation based on experience. Applications accepted until position is filled.

The Vietnamese American Initiative for Development (VietAID) was founded in 1994 by community leaders and residents who believed that a community development corporation would provide comprehensive economic development programs and services to alleviate poverty and advance civic participation in the Fields Corner Vietnamese community of Dorchester. VietAID’s mission is to build a strong Vietnamese community and a vibrant Fields Corner through the following measures: promoting civic engagement and community building; developing affordable housing and commercial space; providing small business technical assistance and micro-enterprise development; and offering high quality child-care services.

VietAID developed and operates the Vietnamese American Community Center (VACC). VACC serves a place for the community to come together and take part in or learn about programs that can help them improve their health, education, financial well-being, and more. VietAID is just one of several community organizations that operates out of the VACC. On any given day, as many as 300 children, youth, and adults access services in the building.
